Terms and Conditions

Dyslexia Nottingham strives to provide professional educational services, ensuring clarity in our commitments to clients, learners, and affiliated schools. These Terms and Conditions outline the rights and responsibilities of all parties involved in tutoring, assessments, consultancy, and school support.

1. Definitions

To ensure mutual understanding, key terms in this document are defined as follows:

  • Client – The individual or entity responsible for arranging and paying for services.
  • Learner – The person receiving tutoring, assessment, or educational support.
  • Consultancy – Advisory services providing educational guidance, billed hourly.
  • School Holidays & Term Time – Defined by UK academic calendars or the learner’s institution schedule.
  • Booking Date – The agreed date for a scheduled session, assessment, or service.

2. Booking & Payments

  • A 10% deposit secures all bookings, unless otherwise stated.
  • Invoices must be settled within 7 days of receipt to avoid late fees.
  • Payments overdue by 14+ days will incur 4% interest per month from the due date.

3. Cancellation Policy

Client Cancellation

Cancellations must be made via email or phone. Refund conditions are as follows:

  • More than 14 days before the booking: Full refund, minus the deposit.
  • Between 14 and 5 days before the booking: 50% of the agreed fee charged.
  • 5 days or less before the booking: Full fee payable.
  • Failure to attend without prior notice: No refund, full charge applies.
  • Rescheduling within 14 days of the booking: Subject to a £50 discretionary fee.
  • Non-refundable expenses: Clients remain liable for any booking-related costs that cannot be recovered.

Cancellation by Dyslexia Nottingham

In unforeseen circumstances, Dyslexia Nottingham may cancel bookings due to operational viability, weather conditions, illness, or reputational risk. Alternative dates will be offered where possible.

  1. Expenses & Additional Costs
  • Mileage is charged at £0.45 per mile, unless explicitly waived or adjusted.
  • Agreed service fees include relevant expenses unless otherwise specified.

5. Diagnostic Assessments & Tutoring

  • Pre-assessment questionnaires will gather background information from parents/carers and schools. Follow-up discussions may be conducted if necessary.
  • For safeguarding purposes, a responsible adult must be contactable and (in exceptional circumstances) able to return within 30 minutes to collect their child during tutoring or assessments. Failure to comply may result in the session being terminated, with the full charge still applicable. Additional testing may be needed for diagnostic assessments at no extra cost.
  • Reports will be provided within two weeks, unless a different timeframe is agreed.

6. Access Arrangements Assessments

Dyslexia Nottingham ensures compliance with JCQ regulations and assessment methodologies.

  • Schools must provide the necessary documentation and Form 8 Part 1 before assessments take place.
  • Candidates will be assessed with consideration of their learning history and educational needs.

7. Intellectual Property Rights

All reports, training materials, and educational resources provided by Dyslexia Nottingham remain the exclusive intellectual property of the business.

8. Code of Ethics

Dyslexia Nottingham adheres to ethical standards set by the Dyslexia Guild.

  • All professional conduct follows the Dyslexia Guild guidelines, ensuring compliance with educational best practices.

9. Complaints & Dispute Resolution

If a client has concerns about Dyslexia Nottingham’s services:

  1. Initial Discussion: Clients should contact Dyslexia Nottingham for an informal resolution.
  2. Escalation: If unresolved, Dyslexia Nottingham follows the Dyslexia Guild’s complaints procedure.

10. General Provisions

  • Dyslexia Nottingham reserves the right to update these Terms & Conditions, with notice provided for substantial changes.
  • These terms remain in effect unless specifically overridden by a written agreement.
